At KeyImagery (https://www.keyimagery.com), we are committed to protecting the privacy of our users, clients and their guests. This policy outlines how we collect, store, and manage your information and visual media.

1. Information We Collect

We collect information to provide a seamless photography and videography experience.

  • Account Information: When you sign up, we collect your name and email address.
  • Automated Data: Our internal activity tracking system logs your IP address, hostname, device type, browser/platform, user agent, and time zone to ensure platform security and performance.
  • Transaction Data: All payments are processed through PayPal. KeyImagery does not store your credit card or bank details on our servers.
  • Shipping Information: For physical orders, we collect your delivery address, which is shared with our courier partners for fulfillment.
2. Visual Content & Metadata
  • Hosting: All photos and videos are stored on our private, in-house servers located in Hamilton, New Zealand. We do not use third-party cloud storage.
  • Metadata: We do not strip EXIF data (including GPS location or camera serial numbers) from files. This applies to media we shoot and media uploaded by clients.
  • Access Control: * Public: Some galleries are public at the client’s request and can be accessed by anyone.
  • Private/Hidden: These require authenticated user access or a specific access code.
3. Data Sharing & Third Parties

We prioritize your privacy and do not sell your data. We only share information when necessary:

  • Freelance Editors: We may share raw video files with trusted freelance editors via our secure web app for production purposes.
  • Couriers: Your name and address are shared with shipping providers to deliver physical products.
  • Legal Compliance: We may disclose information if required by New Zealand law or a valid legal process.
4. Image Rights & Marketing
  • Portfolio Use: KeyImagery reserves the right to use images/videos from shoots for our professional portfolio and social media.
  • Opt-Out: Clients may opt out of portfolio use at any time by contacting us.
  • AI Policy: We do not use your images or videos to train AI or machine learning models.
  • Releases: We store digital copies of signed model or property releases where applicable.
5. Data Retention & Deletion
  • Retention: We retain photos and videos on our servers for a minimum of 5 years to allow clients to access or re-order their media.
  • Deletion Requests: If you are a client or a guest featured in an image and wish for it to be removed, please use our Report/Request Form on the portal. An administrator will review and process valid requests promptly.
6. International Users (GDPR/CCPA)

While KeyImagery is New Zealand-owned and operated, we serve clients globally.

  • New Zealand Privacy Act 2020: We adhere to the principles of the NZ Privacy Act regarding the collection and use of personal information.
  • Data Transfers: By using our services, international users acknowledge that their data is stored in New Zealand.
7. Automated Communications

We send system-generated emails for:

  • Account verification.
  • Access requests to folders/files.
  • Notification when downloads are processed.
  • Note: We do not send marketing or promotional emails.
